Rights Required for Bulk Edit Records in Excel Online within Dynamics 365 Online Customer Engagement

You recently went live and users are happy with the solution. After few days you get a request from the user that they want to bulk update the records for one of the entities. You check the Security Roles assigned to the user and find that the user has organization level Create, Update, Delete, Append, Append To rights on that entity.  You tell the user that Dynamics 365 Customer Engagement has the out of the box functionality that allows the user to build edit the records through Excel Online.You ask the user to click on ellipsis in the toolbar in the grid of the record, followed by Export to Excel → Open in Excel Online.

The user can now see the record open in Excel Online within Dynamics 365 Customer Engagement.

They make the required changes and click on SAVE CHANGES TO DYNAMICS 365 button.

However unexpectedly users get the Insufficient Permissions error.

You start wondering why user got that error, considering the user has the Organization Level Update rights.

Being a System Administrator, you try to replicate the same and are presented with the following popup, on clicking SAVE CHANGES TO DYNAMICS 365 button.

That makes you realize that Dynamics 365 behind the scenes uses the Import Job to update the records.Set featured image

So, the user needs to have the Import rights along with the Update to perform this action. You open the security role assigned to the user and in Core Records tab, you see three rights specific to import

  • Data Import
  • Data Map
  • Import Source File

You assign user level rights to these entities and ask the user to try the action.

This time user doesn’t get the insufficient permission error and records are submitted for an update as part of import job.

After a few minutes the records are updated properly.

Thus, the user level rights on the above 3 entities are required along with update rights for the user to bulk update the records using Excel Online company in Dynamics CRM development customer Engagement Version 9.0.

For the earlier version of the product, the user was required to have rights on above 3 entities as well as below Entities for this to work.

  • Web Wizard.
  • Web Wizard Access Privilege.
  • Wizard Page.
